Lumion is looking for a dynamic HR & Facilities Officer who will support our HR & Facilities department. In this role, you will report directly to the HR & Facilities Manager, playing a crucial part in our organization's ongoing success. You will be responsible for the HR and payroll administration, managing the HR Information System, and taking care of a wide variety of facility tasks, including RI&E.

Your role:

HR-related responsibilities:
  • Draft and manage employment contracts for both full-time hires and contractors.

  • Facilitate the smooth onboarding process for new employees, ensuring a seamless transition into the organization.

  • Supervise the HR information system, making necessary updates and improvements to enhance efficiency and accuracy.

  • Take care of the monthly payroll process, overseeing all payroll changes for employees, including full-time hires and contractors.

  • Handle 30% tax ruling applications for non-Dutch citizens.

  • Provide assistance with IND applications for employees hired from outside the EU, ensuring compliance with immigration regulations.

  • Health and Safety: administer sickness records and liaise with ARBO-dienst for necessary protocols.

  • Manage Health and Safety tasks, including training for new employees and Risk Inventory & Evaluation (RI&E) processes.

  • Maintain communication with the UWV in cases of long-term illness and maternity/paternity leave.

  • Assist the HR Manager in conducting employee appraisals, updating the HR handbook, and supporting recruitment activities.

  • Facilitate formal communication with employees regarding new starters and other HR-related updates.

Facilities-related responsibilities:
  • Maintain regular communication with the property owner to address and follow up on property maintenance issues promptly.

  • Oversee health and safety measures, ensuring compliance with contractual requirements related to the premises, including annual checks of systems and fire extinguishers.

  • Manage external contracts with various service providers responsible for maintaining plants, alarm systems, air conditioning, catering, and other essential facilities.

  • Collaborate with contracted companies to ensure the efficient and effective operation of all facility-related services.

  • Take charge of ordering office equipment and furniture, ensuring a well-equipped and comfortable working environment for all employees.

  • Work closely with the Office Concierge to coordinate facility-related tasks and maintain a smooth operation within the office premises.

What you bring to the table:

  • A BA in Human Resources (or a related field), or an MBO in Business Administration, and experience in HR admin and Payroll at a senior level.

  • At least 5-8 years of experience in HR admin.

  • The ability to run payroll independently.

  • Excellent communication skills.

  • A good understanding of cultural differences (we’re a diverse, international team!).

  • The ability to work well under pressure in a demanding environment.

  • Fluency in English and Dutch.

  • Sufficient knowledge of the Dutch Labor Law.

  • Desired: experience in Facilities Management.

  • Desired: based in The Randstad area (Rotterdam-Den Haag-Amsterdam). This is an on-site role.
