Lumion / Act-3D is looking for a communicative and well-organized Administrative Management Assistant to support our finance department. In this role, you will report directly to the Financial Director, playing an important part in our organization's ongoing success. You will be responsible for the financial processes and administration tasks and take care of a variety of (financial) projects.

This role is great for someone who likes to develop from a supportive or administrative background into a Finance or Office Management role, gaining more experience and responsibility along the way, while the organization and the finance department are growing.

Your role:

  • Manage the Purchase to Pay process, including processing purchase orders, invoices, and payments in a timely and accurate manner.

  • Be the first point of contact for our suppliers and bank relations, communicate with vendors to resolve any issues or discrepancies, and follow up on agreements.

  • Handle document and contract management, ensuring proper organization and retention of all important files and records.

  • Provide general administrative support by answering questions and handling emails and taking care of physical mail.

  • Assist in project management and implementation initiatives, providing support to the finance director and/or management team.

  • Implement and maintain office procedures and systems.

  • Assist to provide management and financial reports, update dashboards, compile information for reports and assist to transfer data into a (PPT) presentation.

  • Support management in drafting, editing and proofreading empathic and clear communication to the organization.

  • Assist making travel arrangements for management or larger groups of visitors.

  • Handling any other office-related tasks if needed.

What you must bring to the table:

  • Bachelor's degree, preferably in a finance-related field.

  • At least 5 years of experience in an administrative role.

  • Proven experience in purchase to pay processes, supplier relations, and document management.

  • Excellent organizational skills and attention to detail.

  • Strong communication and interpersonal skills.

  • Problem solving and self starting attitude

  • Proven ability to handle and deal with sensitive information and maintain confidentiality.

  • Proficiency in Google suite and/or Microsoft Office and relevant administrative software.

  • Ability to multitask and prioritize tasks effectively.

  • Desired: based in The Randstad area. This is not a remote role.

  • Fluent in English is a must, Dutch is preferable (minimum B2).
